Marketing Event Coordinator

Advantage Tech is looking for a Marketing Event Coordinator to join a great, growing company based in Chicago, IL. The Marketing Event Coordinator works with the Distribution Team to handle all components of internal and external events and conferences. The candidate must have strong interpersonal skills, willingness to contribute to the team in a capacity outside of specific job function if needed, collaborative mentality and willingness to travel (25 – 30%).

 

Key Responsibilities

  • Lead development of strategy, marketing and execution of conferences and events (virtual and in-person)
  • Define the conference and event budget and scope
  • Work closely with each regional investment consultant on their territory budget and events/sponsorships
  • Organize virtual events using On24 and Zoom platforms
  • Coordinate with event venues on all logistics, contract negotiations and continued relationship management
  • Work with internal conference attendees to manage all materials that need to be delivered to and from conferences (including booth, brochures, swag)
  • Develop and distribute invites, manage and track all confirmations and declines, and clearly communicate conference details to attendees
  • Manage conference follow up activities including: feedback from attendees, thank you emails and importing data into Salesforce
  • Coordinate with other teams within Marketing to build program agendas, invites, event details and confirm speakers
  • Onsite meeting management • Setup, technology, F&B, branding, etc.
  • Event types include: single and multi-day conferences, roadshows, offsites, internal company events (holiday events, seasonal outings)

Minimum Qualifications

  • BA/BS or equivalent
  • 7-10 years’ experience preferred
  • Job requires event management experience
